Minutes of Board Meeting held on 05/26/2022 at 7:00 P.M.
at the former Montagna residence

Present:  John Barnhill, Kai Dozier, Steve Hovanic, Susan Jammé, Carl Prober

Business Items discussed (all will be reported on at the upcoming Annual Meeting):

1.) Treasurer’s Report Summary: John reported that the Association’s total financial assets are $77,547.51 (consisting of $5,341.53 in a checking account and $72,205.98 in varying-maturity CDs).

2.) FiberLync Internet Update: Kai reported that he recently spoke with FiberLync personnel doing cable splicing at the intersection of Hardwick Mountain Drive and Rt. 20 and also with Jenny Cord at Fiberlync’s Orange office. She reported that splicing at all the junction boxes throughout Hardwick Mountain is scheduled to begin around June 01. After this step is completed Fiberlync will then contact residents regarding the particular level of service they desire, the most suitable routing of cable into the home, scheduling the installation, etc. Kai will request that, if possible, a Fiberlync representative attend the Annual Meeting to give a presentation and answer any questions that may arise. Most Hardwick Mountain residents are looking forward to fiber optic cable internet but have little experience with its various aspects.

3.) Crusher Run Gravel along Hardwick Mountain Drive: Kai noted that the soil that was disturbed during the recent fiber cable sheath installation (primarily along Hardwick Mountain Drive coming up the hill) is still very soft and some vehicles have already left ruts in it. To minimize further damage to the edge of the road and the sheath itself additional crusher run needs to be added. Another workday to do this will be scheduled soon.

4.) Firewise/Department of Forestry (Additional Grant Money Available for 2022): Several residents had questioned if any debris cleanup was planned to take advantage of a Department of Forestry grant, as has been done several times in the past. Kai will contact Barbara Dulaney to confirm the expiration date for any 2022 grants; possibly a fall cleanup day will be scheduled.

5.) Website Updated: Kai reported that a few changes have been made to the Association website. There is no longer a password requirement, and the roster of property owners has been removed.

6.) Revisions to Restrictive Covenants: Kai presented a draft document that provides a general overview of the types of upgrades that are needed in the Restrictive Covenants, as well as the rationale for doing so. He and John will further refine this document for distribution at the Annual Meeting (and also forward it to those who may not attend). It is anticipated that this measure of transparency and information-sharing will demonstrate that upgrading the Restrictive Covenants will be to the mutual benefit of all Hardwick Mountain property owners and alleviate any concern some may have when this subject is discussed.

7.) Annual Meeting Date: The 2022 Annual Meeting will be held on Thursday, June 16, 2022, from 6:30 p.m. - 8:00 p.m. at the Barboursville Community Park Picnic Shelter. The format will be as usual, with election of Board members and other business items, followed by a “bring a dessert” social afterward.

There being no further business, the meeting was adjourned.
